Getting started

Most schools are up and running within an afternoon. You'll create your school profile, set up your classes and venues, and optionally import your existing pupil list. We provide free onboarding help if you'd like a hand — just email mail@swimscool.io.

No. You can start adding pupils and classes manually, or use our import tool to bring in a spreadsheet. Either way, you can have a working system on the same day you sign up.

SwimsCool works on any device through a web browser — no app download required. It's fully responsive and designed to work on phones and tablets. Teachers can take registers and log skills from a phone without installing anything.

Yes — each teacher has their own login so they can access their assigned classes, take registers, and log skills. You control what each teacher can see and do.

Yes. Every new school gets a 14-day free trial with full access to all features. No credit card required. If you need more time to evaluate, just email us and we'll extend your trial.

Pricing & billing

We offer three plans: Starter, Growth, and Pro. Pricing is a flat monthly fee — we don't charge per pupil, per teacher, or per transaction. Visit swimscool.io for current pricing.

No. SwimsCool is priced as a flat monthly subscription regardless of how many pupils or teachers you have. Your cost stays the same whether you have 20 pupils or 200.

No. You connect your own Stripe account and payments go directly to your bank. SwimsCool's subscription fee is the only cost from us. Stripe's standard processing fee (typically 1.4% + 20p for UK cards) applies — that's between you and Stripe.

Yes. There are no minimum contracts on monthly billing. Cancel any time from your account settings. Your data is retained for 30 days after cancellation.

You choose a plan and enter your billing details. Everything you've set up during the trial is preserved exactly as-is. If you decide not to continue, your data is held for 30 days so you can export it before it's deleted.

Yes. Upgrade or downgrade at any time. Changes take effect from the next billing cycle.

Features

SwimsCool includes Swim England and STA frameworks out of the box. You can also create a completely custom framework with your own stages, skills, and awards — including custom icons and badge colours.

This is configurable. You can allow self-booking with or without your approval, or keep enrolments owner-managed only. The setting is in School Settings → Booking.

Yes. When a class is full, new enrolment requests go to a waiting list. You can manage these manually or allow automatic enrolment when a space opens.

Yes, on the Growth and Pro plans. You can send messages to individual parents, all parents in a class, or all parents in the school. Parents reply through their portal — no personal phone numbers or email addresses required.

Yes. You can add any number of venues, each with their own pools and teaching areas. Venue closure dates are managed per venue and automatically affect session scheduling.

Yes. You can set up classes for any age group. The skills framework is fully customisable, so adult programme stages can be configured however you need them.

Yes, on the Pro plan. You get your own branded portal at yourschool.swimscool.io with your logo, brand colour, and custom content. Parents log in through your school's page, not a generic SwimsCool URL.

Payments & invoicing

When a pupil enrols in a class, SwimsCool automatically creates an invoice for the period. Invoices are emailed to the parent with a secure online payment link. You can also record cash and bank transfer payments manually.

Only if you want to accept online card payments. Stripe accounts are free to create at stripe.com and take about 10 minutes to set up. If you prefer to collect payments by cash or bank transfer only, Stripe is optional — you can record those payments manually in SwimsCool.

Yes. Each class has its own price, billing period (weekly, monthly, per term, or per course), and payment settings.

SwimsCool supports GBP, USD, EUR, AUD, CAD, NZD, and others. Currency is set per school in your settings.

Yes. You can edit the subject line and body of invoice emails, class cancellation notices, and class change notifications in School Settings → Email Templates.

Data & privacy

You do. Your pupil data, payment records, and school information are yours. You can export everything at any time. SwimsCool does not sell or share your data with third parties.

Data is stored on UK-based servers. We comply with UK GDPR requirements.

Your data is retained for 30 days after cancellation, during which time you can request an export. After 30 days it is permanently deleted.

Yes. A developer API is available on the Pro plan for data export and integration. A full data export is also available on request via mail@swimscool.io.

Support

Email us at mail@swimscool.io or use the built-in bug and feature reporting tool inside the app. We aim to respond within one business day. Growth and Pro plan users get priority response.

Yes — free onboarding assistance is included for all plans. We can walk you through setup, help import your data, and answer questions via email or video call. Just email mail@swimscool.io to arrange.
